Terms of engagement for Brigstow projects – Brigstow principles and expectations

As a University Research Institute, Brigstow will:

  • Provide the funding to enable research projects to happen;

  • Be approachable, helpful, non-judgemental and happy to be asked questions;

  • Arrange three cohort meetings each year, to enable project teams to work together and to share their processes, skills, knowledge and their project with the other project teams (seedcorn funding only);

  • Support project teams with communications;

  • Create a project profile on the Brigstow website;

  • Support project teams with finance and budget management; and

  • Love to get involved with the projects and coming along to project events when it’s appropriate and reasonable.

In return, Project teams funded by Brigstow should:

  • Consider themselves part of the Brigstow Community;

  • Attend all three cohort meetings as a team (Seedcorn only. Cohort meeting dates are given in the seedcorn guidance);

  • Ensure the project is co-created, co-designed and co-led as appropriate;

  • Aspire to equity, trust and open communication amongst team members with everyone’s expertise respected, including when publishing publications;

  • Respect project/intellectual property (IP) confidentiality until information is in the public domain. Information about IP can be found at https://www.ipo.gov.uk/ip-support/;

  • Commit to carrying out the research/making, within the period specified for the call;

  • Add details of the project to the relevant University of Bristol systems e.g. PURE; and

  • Respond swiftly to requests for information from Brigstow.

Communications

  • Feed into the team’s project profile on Brigstow’s website;

  • Work with Brigstow on a project communication plan;

  • Where appropriate and reasonable, welcome Brigstow to some project events;

  • Provide blog posts and regular informal updates, including updates on how any outputs are being used outside of the university;

  • Provide a further, end of project, blog that includes information about processes and outputs.

  • Give Brigstow first option on communicating any outputs from the project and notify us of any upcoming events and publications etc;

  • Provide Brigstow with a copy of (not just a link to) any media produced, such as films;

  • Update Brigstow on the project’s progress and activities;

  • Provide Brigstow with information about outputs and emerging outputs including applications for further funding, particularly external funding (in advance where possible); and

  • As per University of Bristol policy, make any significant electronic outputs of the Project (including any datasets) available for open access.

Goverance 

  • Endeavour to complete the ethics process before the formal start date of the project;

  • Ensure that there is always an eligible person on the project to hold the budget within the university;

  • Ensure there is a team member who has oversight of research governance including the ethics process and responsibility and management of research data;

  • Consider arrangements for all aspects of intellectual property (IP) created during the project and put agreements in place if needed; and

  • Put in place an appropriate data sharing or equivalent agreement in order to keep personal data safe and comply with applicable laws including GDPR. Information on data protection can be found at https://www.bristol.ac.uk/secretary/data-protection/.

Finance

  • Ensure that everyone being paid with project funds is paid fairly and in a timely manner;

  • Spend all project funds by 31 July of the academic year the project is funded;

  • Remember that the Brigstow Co-ordinator can provide support with financial management of projects; and

  • Keep records of the project spend and ensure it matches the budget in MyERP.
